Job Opportunity:  Clinic & Digital Media Assistant

Location: Saint John

Reports To: Operations Manager 

Position Type: Part-time 20 hours a week (could lead to more hours)

Pay: $20.00/hour

Key Responsibilities

Clinic Administration & Client Support

  • Greet clients and visitors in a warm, professional manner.

  • Answer phone calls, respond to inquiries, and direct calls as appropriate.

  • Schedule and confirm appointments using clinic software.

  • Process client payments, issue receipts, and maintain accurate records.

  • Reconcile insurance claims

  • Support data entry, filing, and general office tasks.

  • Maintain a clean, organized, and welcoming reception and clinic space. 

  • Light cleaning (vacuuming, mopping, sweeping dusting etc)

  • Assist Grief Café when needed

Digital Media & Communications

  • Create engaging content (graphics, posts, stories) for social media platforms.

  • Maintain a posting calendar to promote programs, services, and community initiatives.

  • Use Canva (or similar tools) to design promotional & clinical materials.

  • Support email communications, newsletters, and social media platforms.

  • Assist with marketing campaigns, fundraising events, and community outreach.

Team & Organizational Support

  • Provide administrative support to staff, facilitators, and volunteers as needed.

  • Assist with event setup, registration, and follow-up.

  • Uphold confidentiality and act with compassion, professionalism, and respect at all times.

  • Contribute to a positive, team-oriented workplace culture.

Qualifications

  • Administration, communications, or a related field, or equivalent experience.

  • Strong organizational and multitasking skills.

  • Excellent communication skills (verbal, written, and digital).

  • Proficiency in Microsoft Office and Canva; experience with social media management tools an asset.

  • Compassionate, welcoming, and professional approach when working with clients.

  • Ability to work independently and as part of a team.

  • Previous experience in a clinic, nonprofit, or customer service environment considered an asset.

  • Clean criminal background check

Work Conditions

  • Primarily onsite at the clinic, with daytime and evening support. Occasional weekend support for events.

  • Part-time cleaning and organizing tasks included.

  • May require some travel for community or outreach events.
